In SharpSpring, you can set up an automation that will notify you whenever a visitor fills out a form. These notifications can be sent by email or text. In order to set this up, we need to create an automation that essentially says "if someone fills out the form, then send a notification". To do this, you will need to create a task and action group.
The following users can set up a form fill notification:
- Marketing Managers
Be sure to have the form before setting up the form fill notification. If you need help with creating forms, be sure to check out our help article Creating a Form.
Step One: Create an action group.
On the toolbar top right, click the +New button, then on the drop-down, select Action Group. Give your action group a name, add it to a folder, and make the action group repeatable. Then click Add Action Group.
Within the section When and what should your action group accomplish, choose to either send notification to email or send a notification to user. Then, choose the user and choose whether to send it as a text message as well.
Step Two: Create a task.
On the toolbar top right, click the +New button, then on the drop-down, select Task. On the Add New Automation Task pop-up, name the task, select the folder and click the Add Task button.
Within the Triggers & Filters section, on the first drop-down, select when any. In the When a contact field drop-down select fills out the form.
In the Select a Form field, start to type the form name, then select the form and choose any of the three selections for the delivery time. Once you have made all the selections, click Add Rule.
Step Three: Add the action group to the task.
While staying in the tasks page, scroll to the Action Group & Actions section and start typing the action group name you created from step one, then select it. Then click Save Changes.
That's it! Once you have created an action group and added it to the trigger, then this notification will be sent every time a visitor fills out the form you selected.
