SharpSpring enables you to create automation tasks to notify someone whenever a visitor fills out a form. Notifications can be sent by email or text. In order to create the automation rule, you create a form so that the workflow can reference it.

The following User Roles have access to create automation tasks with notification:
- Marketing Managers
Follow these steps to set form fill notifications. You will first need to create the workflow, then scroll down or click for steps to Create the Task.
Create the Workflow
Step One: On the toolbar top right, click the +New button, then on the drop-down, select Workflow.
Step Two: On the Add New Workflow pop-up, do the following:
- Name the workflow.
- Choose the folder to store the workflow and select options.
- Click Add Workflow.
Step Three: Within the section When and what should your workflow accomplish, in the first and second drop-down menus, set the drop-downs to 0 and Minutes to prompt the automation to start immediately.
Step Four: In the field below, click the drop-down menu, then under Notification Events, choose one of the following:
- send notification to email, Add an email address, then click Add Action
- send notification to user, then click in the next field and select the user, and click Add Action.
Step Five: Once you have created the workflow options, on the bottom right, click the Save Changes.
Create the Task
Step One: On the toolbar top right, click the +New button, then on the drop-down, select Task.
Step Two:On the Add New Automation Task pop-up, do the following:
- Name the task.
- Select the folder
- Click the Add Task button.
Step Three: Within the Triggers & Filters section, on the first drop-down, select when any.
Step Four: Directly below the when any field, select Add the Trigger and in the When a contact field drop-down select fills out the form.
Step Five: In the Select a Form field, start to type the form name, then select the form and choose any of the three selections for the delivery time. Once you have made all the selections, click Add Rule
NOTE: Form data will only appear in the notification when using the fills out the form trigger. If you are not seeing form submission data in your notification, check that the When a contact field is set correctly.
Step Six: Scroll to the Workflows & Actions section and start typing the workflow name you created from the section above, then select it. Then click Save Changes.
