An account in Lead Gen & CRM is just like a folder in a digital filing cabinet, where you can store all of the information related to an account in one place. Import accounts in bulk from a .TXT or .CSV file using our Account Import tool.
We attempt to detect and map the fields in your file automatically, however, you’ll have a chance to double-check that the columns in your file are being mapped to your Lead Gen & CRM fields correctly.
In this article, you'll learn how to map your import columns to the correct fields.
First, import your .CSV or .TXT file. Read our “Formatting Files for Account Imports” article to learn how to prepare your import file. After uploading your file, you’ll be asked to select three main file settings: File Delimiter, Date Format, and Time Format. Selecting these settings tells Lead Gen & CRM how to structure the data that you’re importing.
Please be sure to adhere strictly to your chosen date and time formats. If you select MM-DD-YYYY for your date format, but your file includes rows with the DD-MM-YYYY format, your data will be uploaded inaccurately. In addition, single-digit days and months (7-3-2024) will not work.
This step is very important – please double-check the formatting for the date and time in your import file.
Map Your Data
Lead Gen & CRM will attempt to map your data to the appropriate fields automatically, however, it is a good idea to double-check that the mapping has been done correctly.
In step 3 of the import process, check the rows of the table to be sure that all of your file’s columns have been accounted for and that all columns correctly match the mapped fields. If any of the mapping is inaccurate, use the dropdown menu to update to the correct field.
Decide how you want to handle imported data when there are multiple rows with the same Account Name. Choose one of the following:
|Do not import accounts with duplicate account names.||
None of the accounts with a duplicate Account Name will be uploaded. The import will go through, however, those accounts will be omitted.
|Merge and update only new or empty fields.||
Accounts with duplicate Account Names will be merged into one. Any new fields that do not overlap, will be included in the account.
Consider the following scenario:
You have two accounts in your file that are both named “The New Company”. One account has the zip code 90064 and the other, further down in your file, has the zip code 20005.
In this case, the import process will generate only one account in Lead Gen & CRM with the name “The New Company” and the zip code 20005.
|Merge and overwrite all fields.||
Accounts with duplicate Account Names will be merged into one and all fields will be updated and overwritten.
Consider the following scenario:
You have two accounts in your file that are both named “The New Company”. One account has the zip code 90064, annual revenue of $400,000, and “Red” for the custom field “Favorite Color”.
The other account, further down in your file, has the zip code 20005, an annual revenue of $450,000, and no data included for the custom field “Favorite Color".
In this case, the import process will generate only one account in Lead Gen & CRM with the name “The New Company”, the zip code 20005, annual revenue of $450,000, and no data will be included for the custom field “Favorite Color”.
Verify Your Data
Once all fields have been mapped you’ll be able to verify your data on the page that follows.
This page gives you one last chance to review your file settings, file columns, mapped fields, and how to handle duplicate data. If there are any problems identified, you’ll need to click CANCEL to start your import over again or BACK to return to the page where you can map your data.
If instead, everything looks accurate, check the box to verify the content of your import and then select Start Account Import to proceed with the import.
It can take a few minutes to create all of the accounts in Lead Gen & CRM based on your import file. You are able to leave the import page and Lead Gen & CRM will alert you when your import is complete, with a popup.
Once complete, you’ll be able to view all of your new accounts from Sales > Accounts in Lead Gen & CRM’s left toolbar. You’ll be able to review a record of all imports that were processed from the Import History page.
You may review a record of all imports from the Import History page. You’ll have access to the following information for each import record:
- Date of the import
- Type of import – if the import was for a contact or an account
- The import file
Clicking on the file type (.CSV or .TXT will allow you to download that file to your computer.
- Number of rows within the import file
- Number of rows that were successfully imported
- Any errors and how many
- A record of the errors.
Clicking View will allow you to download a .CSV file with error information.
- The option to Archive all of the accounts that were uploaded from that particular import
